1. INTRODUCTION
Kibbi Technologies Inc. ('Kibbi,' 'we,' 'us,' or 'our') operates mykibbi.com, mykibbi.ca, and related services (the 'Platform'). This Privacy Policy explains how we collect, use, disclose, and protect your personal information.
This Privacy Policy applies to all individuals who use the Platform, including job seekers, employers, and partner organisation users. By using the Platform, you consent to the collection, use, and disclosure of information as described herein.
2. INFORMATION WE COLLECT
2.1 Information You Provide Directly
Account Registration: Name, email address, phone number, and other information you choose to provide during registration.
Job Seeker Profiles: Employment history, skills, education, resume/CV, cover letters, location preferences, availability, and work authorization status.
Applications: When you apply to job postings, we collect your application materials and any responses to employer-specific questionnaires.
Sensitive Personal Information (Collected with Explicit Consent Only): Government-issued identification numbers (driver's licence, passport), diversity self-identification data (race, ethnicity, gender identity, disability status), and other sensitive information. This data is kept strictly separate from your public profile and shared only with explicit consent or for specific lawful purposes (e.g., employer background checks, diversity reporting).
Employer Information: Company name, contact information, job postings, posting frequency, and billing details.
Communications: Messages, support inquiries, and feedback you send to us.
2.2 Information Collected Automatically
Device and Technical Information: Device type, operating system, browser type, IP address, and mobile device identifiers.
Usage Data: Pages visited, time spent on pages, search queries, job postings viewed, and applications submitted.
Cookies and Tracking Technologies: We use cookies and similar technologies to enhance user experience and measure platform performance. You can control cookies through your browser settings.
2.3 Third-Party Information
Kibbi does not purchase or receive information about you from data brokers, background check vendors, or similar third parties. We do not collect personal information from third-party social media platforms. However, if an employer or partner organisation directs us to conduct a background check or reference verification on your behalf, we may receive limited information for that specific purpose.

4. ARTIFICIAL INTELLIGENCE AND AUTOMATED PROCESSING
Kibbi uses artificial intelligence and automated processing technologies in the following ways:
Resume Parsing: We automatically extract information from resumes to populate your profile and improve matching with job postings. Extracted data is used to enhance Platform functionality.
AI-Assisted Job Seeker Tools: We provide optional AI-powered assistance for resume writing, cover letter generation, and application recommendations. These tools process your profile and application data to provide suggestions.
Employer AI Tools: We provide optional AI-powered assistance for job description generation and candidate matching. Employers may elect to use these tools.
AI Vendor and Data Processing: AI processing is currently provided by third-party vendors (including OpenAI). Your data is processed according to vendor privacy terms and our data protection agreements. We do not train our own or third-party AI models on your personal information.
Transparency and Control: We disclose when AI is used to generate content or recommendations. You can decline to use AI-assisted features and still access the Platform.
Bias Mitigation: We actively monitor AI-generated content for discriminatory, biased, or problematic outputs. We prohibit AI tools from generating job descriptions containing discriminatory language or biased candidate screening criteria. If you encounter biased or discriminatory AI-generated content, please report it to legal@mykibbi.com.
5. HOW WE SHARE YOUR INFORMATION
5.1 Sharing with Employers
When you apply to a job posting, your application materials, resume, and profile information are shared with the employer. You control what information appears on your public profile. Sensitive information (government ID numbers, diversity self-identification) is shared only with explicit consent or at employer request for a specific role.
5.2 Sharing with Partner Organisations
If you use a co-branded partner platform, your information is shared with the partner organisation under the terms of a Partner Agreement. Partner organisations may have separate privacy practices. We recommend reviewing partner privacy policies.
5.3 Sharing with Service Providers
We share information with service providers who assist with hosting, email delivery, payment processing, analytics, and AI services. Service providers are contractually obligated to protect your information and use it only for specified purposes.
5.4 Legal Disclosure
We may disclose information if required by law, court order, or government request, or to protect our legal rights, privacy, and safety.
5.5 No Sales or Sharing with Data Brokers
Kibbi does not sell, rent, or share your personal information with data brokers or for marketing purposes beyond platform operations.
6. DATA RETENTION AND DELETION
We retain personal information for as long as necessary to provide services, fulfill legal obligations, and resolve disputes.

You can request deletion of your account and associated personal information by contacting legal@mykibbi.com. We will honour deletion requests within 30 days, subject to legal retention obligations. Some information may be retained in aggregated or anonymized form for analytics.
7. CROSS-BORDER TRANSFERS
Kibbi's primary servers are located in Canada. However, some third-party service providers (hosting, payments, analytics, AI vendors) are based in or process data in the United States. These transfers are necessary to provide Platform services. By using Kibbi, you consent to cross-border data transfers. Our service agreements with US-based providers include privacy protections equivalent to Canadian standards.
8. SECURITY
We implement reasonable technical and organisational measures to protect personal information, including encryption, access controls, and secure data centers. However, no security is perfect. We cannot guarantee absolute security and are not liable for unauthorized access despite reasonable precautions.
9. USER RIGHTS AND CHOICES
9.1 Access and Correction
You have the right to access your personal information and request corrections. You can review and update your profile and account settings directly within the Platform.
9.2 Withdrawal of Consent
Where your information is collected based on consent, you may withdraw consent at any time. This does not affect the lawfulness of prior processing.
9.3 Opt-Out of Communications
You can opt out of promotional emails by clicking the unsubscribe link or adjusting your notification preferences. You cannot opt out of essential service communications (e.g., account security alerts).
9.4 Deletion Requests
You can request deletion of your account and personal information as described in Section 6.
10. PRIVACY COMPLAINTS
If you believe we have violated your privacy rights, please contact us at legal@mykibbi.com. We will investigate and respond within 30 days. You also have the right to file a complaint with the Office of the Privacy Commissioner of Canada.
